Terms and Conditions for the Arts Award study
1.1: “Our”, “We”, and “Us” refer to the Arts Award Advisor acting on behalf of the business of Nicki Reg.
1.2: “You” and “Your” refer to the parent, legal guardian, or individual responsible for the Young Person participating in the Arts Award.
1.3: “Young Person” refers to the individual enrolled in and undertaking the Arts Award.
2.1: The Arts Award is a range of unique qualifications that supports anyone aged up to 25 to grow as artists and arts leaders. It inspires young people to connect with and participate in the wider arts world by taking on creative challenges in an art form of their choice - from fashion to digital art, pottery to poetry. Through progressing across the five levels, Young People have the opportunity to:
discover the enjoyment of creating and taking part in arts activities;
experience arts events;
develop creative and communication skills that are essential for success in 21st-century life;
explore the work of artists and craftspeople, gaining insight into the professional arts world;
gain experience and knowledge to help them progress into further education and employment.
2.2: There are no entry requirements, no time limit for completing an Arts Award, and no set rules regarding how final work must be presented.
2.3: Through Arts Award training accredited by Trinity College London, we are qualified to teach and assess the following levels:
Discover
Explore
Bronze
Silver
Gold
2.4: The Explore, Bronze, and Silver Arts Awards are recognised, regulated qualifications:
Explore – Entry Level Award in the Arts (Entry 3)
Bronze – Level 1 Award in the Arts
Silver – Level 2 Award in the Arts
Gold – Level 3 Award in the Arts
2.5: The Discover Arts Award is not a regulated qualification but is certificated by Trinity College London.
2.6: To undertake an Arts Award, the Young Person must fall within the following age ranges:
Discover – Open to anyone aged 25 and under (designed for ages 5–9, particularly Key Stage 1 and lower Key Stage 2).
Explore – Open to anyone aged 25 and under (designed for ages 7–11, particularly upper Key Stage 2).
Bronze – Open to anyone aged 11–25 (designed for ages 11–14).
Silver – Open to anyone aged 11–25 (designed for ages 14–16).
Gold – Open to anyone aged 11–25 (designed for ages 16 and above).
3.1: You will pay the standard fee as shown on www.nickiregart.co.uk under the Pricing section and in accordance with these Terms and Conditions (Section 3.0 – Charges). Fees may be subject to future price increases. We will provide You with one month’s notice of any changes.
3.2: You will pay for the paper certificate and an administration fee for processing and assessing the award (Discover, Explore, Bronze, Silver, and Gold). These fees are invoiced by Us. The current Arts Award certificate fees (September 2024 – January 2026) are:
Discover: £4.75
Explore: £16.30
Bronze: £27.50
Silver: £37.50
Gold: £55.50
From January 2026, the Arts Award certificate fees plus administrations costs (assessing work, sending data to Trinity College and Moderation costs) will be:
Discover: £7:00
Explore: £19.00
Bronze: £33.00
Silver: £49.00
Gold: £67.00
3.3: You will pay an hourly fee for any additional work You request from Us that falls outside the set lesson structure. This may include, but is not limited to, reviewing pre-recorded evidence of teaching activities not undertaken in Our presence, or additional lessons or workshops beyond the pre-booked sessions. This list is not exhaustive and any additional work will be discussed and agreed with You in advance.
4:1 As the parent, legal guardian, or responsible adult (“You”), You agree that You:
Will support the Young Person by taking them to an event, gallery, or exhibition if they are undertaking an Explore, Bronze, Silver, or Gold Arts Award.
Will not complete any work in the Young Person’s arts log or arts portfolio on their behalf.
Will not take over the role of the Advisor. If We believe the work has not been completed by the Young Person, We cannot reliably assess the evidence against the required assessment criteria. In such cases, We will not assess the work, and no qualification will be awarded.
Will be willing to pay for guided lessons delivered by Us. The estimated guided learning hours (as outlined in the Advisor Toolkit) for each award are:
Discover: 20 recommended learning hours (not regulated but certificated by Trinity College London)
Explore: 25 guided hours
Bronze: 40 guided hours
Silver: 60 guided hours
Gold: 90 guided hours
Will support the Young Person to complete the required independent learning at home. The estimated independent hours are:
Explore: 10 hours
Bronze: 20 hours
Silver: 35 hours
Gold: 60 hours
Will pay per hour for any additional work required from Us beyond the set lessons. This may include (but is not limited to) reviewing pre-recorded evidence not completed in Our presence, or additional lessons or workshops booked beyond the agreed sessions. This list is not exhaustive, and any additional work must be discussed with Us before the Young Person begins the award.
Will support the Young Person to look after their arts log or arts portfolio and ensure it is brought to all lessons.
Will provide permission for the Young Person’s arts log or portfolio to be submitted to Trinity College London for moderation. Without this permission, no certificates or qualifications can be issued.
Will pay for the certificate(s) for the Young Person. These fees are invoiced by Us. (See Section 3.0 – Charges.)
May choose to stop the Arts Award at any time but understand that any uncompleted work cannot be assessed or moderated, and therefore no certificate or qualification can be issued.
5.1: As the Advisor (“We”), We agree that We:
Will recruit Young People for participation in the Arts Award programme.
Will plan and deliver the Arts Award programme in a way that meets the individual needs, abilities, and interests of the Young Person.
Will support the Young Person to produce their arts log or portfolio in any suitable format, including digital formats.
Will follow the most up-to-date Advisors Toolkit for all teaching, guidance, and assessment procedures.
Will support, teach, monitor, discuss, advise, guide, facilitate, and agree on the required elements of each Part of the Arts Award, as set out in the Advisors Toolkit.
Will clearly explain the evidence required for assessment.
Will offer opportunities for peer review, feedback, and exchange where appropriate.
Will help the Young Person to set challenging but achievable targets in line with their award level.
Will not complete any work in the Young Person’s arts log or portfolio on their behalf.
Will complete a formal individual assessment for each Young Person, as required by Trinity College London.
Will book and submit the Young Person’s work for moderation with Trinity College London.
Will set independent tasks that the Young Person must complete outside of guided sessions.
Will write witness statements, where necessary, ensuring they are dated and signed by Us.
With Your permission, will take photographs, voice recordings, and video evidence to include in the Young Person’s arts log or portfolio. This evidence will form part of the submission to Trinity College London for assessment and moderation.
Will assess the Young Person’s work according to the assessment criteria outlined in the Advisors Toolkit.
The Young Person agrees that they:
Will take part in both guided learning (led by Us) and independent study towards their Arts Award. The estimated total hours required for each level are:
Discover: 20 recommended learning hours (not regulated but certificated by Trinity College London)
Explore: 25 guided hours and 10 independent learning hours
Bronze: 25 guided hours and 20 independent learning hours
Silver: 60 guided hours and 35 independent learning hours
Gold: 90 guided hours and 60 independent learning hours
Will look after their arts log or arts portfolio and bring it to all lessons.
Will complete the independent tasks set by Us.
Will organise their work correctly into sections according to the Advisors Toolkit. Work placed in the wrong section may not be marked.
Will complete all work themselves. Work must not be completed by parents, carers, tutors, or others. This will be monitored by Us and confirmed through signatures on the assessment documentation submitted to Trinity College London.
Will demonstrate the required criteria for their award level as outlined in the Advisors Toolkit.
Will provide all necessary evidence for their portfolio, as specified in the Advisors Toolkit.
Will write in legible handwriting that can be clearly read by Us and the Trinity College London moderator.
7.1: For information about how We may collect and use the personal information You provide, the conditions under which We may disclose it to others, how We keep it secure, and Your legal rights in relation to any personal information We hold, please refer to Our Privacy Policy.
7.2: Any details relating to the Young Person, adults, booking forms, or care plans will be securely destroyed in compliance with GDPR six months after the Young Person’s last lesson, unless You, as the parent, legal guardian, or responsible adult, specify otherwise.
7.3: The Young Person’s details will be shared with Trinity College London for the purposes of assessment and moderation. This includes: full name, date of birth, ethnicity, parent/guardian email, and the arts log or portfolio, which may include photographs, voice recordings, and video.
7.4: It is required by Trinity College that all portfolios will be stored digitally for three years to allow for centre moderation.
